Automation of document workflow for employee permits
Case study (featured)
Business context
At SK-Work, documentation related to employee permits was processed manually, requiring substantial administrative effort. Each document had to be correctly named, assigned to a specific employee, and then entered into the DMS and ERP systems. As the number of documents and entities grew, manual processing became increasingly inefficient and prone to errors.
Scope of automation
The automated process starts with the robot working on documents placed in a dedicated folder. It performs OCR on each file, renames it according to a defined pattern, and distributes documents into folders assigned to individual employees. The robot then logs into the Comarch DMS application, searches for employees based on permit data, and saves document links and metadata. Next, it logs into the ERP system and updates employee data in the relevant entities in line with the information contained in the documents.
Technologies used
SAIO Robotics, OCR, Comarch DMS, ERP, Microsoft Excel

- Streamlined workflow for documentation related to employee permits.
- Automatic assignment of documents to the correct employees and systems.
- Data consistency between documentation and DMS/ERP systems.
- Reduction of errors resulting from manual data processing.
- Reduced administrative workload and improved operational efficiency.
