Automation of e-commerce payment allocation
Case study
Business context
Orbico operates sales in the e-commerce channel using payment intermediaries. Each end-customer transaction is first processed by a payment gateway, which then transfers a consolidated payment covering all transactions from a given day. This settlement model requires daily allocation of payments at the level of individual orders, which, when done manually, was time-consuming and prone to errors.
Scope of automation
The automated process starts with downloading detailed transaction reports from payment gateways. The robot identifies the payments included in each consolidated transfer, matches every transaction to the correct order in the ERP system, and then automatically performs reconciliations. The entire workflow runs without user involvement, ensuring consistency and speed.
Technologies used
SAIO Robotics, payment gateways, Outlook, financial and accounting system
Implementation results
- Automatic allocation of consolidated payments down to individual orders.
- Significant reduction in the time needed for daily process handling.
- Elimination of errors resulting from manual transaction matching.
- Data consistency between the ERP system and gateway reports.
- Reduced workload for the finance team and improved operational scalability.
